This notice explains how Rovers Coffee Corporation handles personal data across the Rovers Careers website, candidate portal, recruitment process, interviews, and onboarding preparation.

Rovers collects only information reasonably connected to recruitment, candidate account services, verification, or onboarding preparation.

Submitting an application does not guarantee an interview or employment. Recruitment decisions remain with authorized Rovers personnel.

Who this notice applies to

This notice applies to people who browse Rovers Careers, create a candidate account, apply for a role, communicate with recruitment, attend an interview, or provide requested pre-employment or onboarding information.

What we collect

  • Identity and contact details such as name, email address, mobile number, city or municipality, and candidate account details.
  • Recruitment information such as Resume/CV, work history, skills, portfolio links, availability, cover letter, application answers, role interests, application history, and optional employee-referral details such as the referring team member’s name or employee number.
  • Interview and hiring information such as interview schedule, location, notes, status changes, and communications.
  • Optional profile photo and, only when requested, pre-employment or onboarding documents such as government or employment-related records.
  • Limited technical and security information, including session data, language/theme preferences, and the IP address associated with an application submission.

Why we use personal data

Rovers uses recruitment data to create and secure candidate accounts, receive and assess applications, record and verify employee referrals when provided, communicate with candidates, arrange interviews, verify information when reasonably necessary, manage hiring decisions, maintain recruitment records, prepare onboarding, prevent abuse or fraud, and comply with applicable legal or employment obligations.

Depending on the data and recruitment stage, processing may be necessary to take steps at your request in connection with possible employment, for legitimate recruitment and security purposes, to comply with legal obligations, or where required, on the basis of your consent.

Profile-based job recommendations

The “Best jobs for me” feature compares terms from your saved profile and Resume with current job descriptions to suggest possible matches. It is a guidance feature only. It does not automatically accept, reject, rank, or make a final employment decision about you.

Who may receive or access your information

Access is limited to authorized Rovers recruitment, management, operations, and technical personnel who reasonably need the information for recruitment or system administration. Rovers may also use service providers that support hosting, email delivery, security, or other recruitment operations, subject to appropriate safeguards. Information may also be disclosed when required by law, lawful process, or a competent authority.

How long we keep information

Rovers keeps personal data only for as long as reasonably necessary for the recruitment purpose, candidate account service, record-keeping, legal compliance, security, or the establishment, exercise, or defense of legal claims. Unsuccessful application records are generally targeted for review and deletion or anonymization within 24 months after the recruitment activity ends, unless a longer period is reasonably necessary or required by law. Candidate profile information may remain while the account is active; candidates can remove optional profile documents through the portal. If hired, relevant recruitment information may become part of the employee record and follow the applicable HR retention schedule.

Security

Rovers uses reasonable technical and organizational safeguards including authenticated account controls, hashed passwords, access restrictions, CSRF protection, server-side validation, randomized stored filenames, and restricted direct access to candidate upload storage. No internet-based system can be guaranteed completely secure, so candidates should use a unique password and avoid uploading information that Rovers did not request.

Your privacy rights

Subject to the Data Privacy Act of 2012 and applicable rules, you may have rights to be informed, access your personal data, object to certain processing, request correction, request erasure or blocking where appropriate, request data portability where applicable, seek damages in appropriate cases, and file a complaint with the National Privacy Commission.

You can update many profile details and remove optional profile documents directly in the candidate portal. For other privacy requests, contact Rovers using the details below. We may need to verify your identity before acting on a request.
